Cancellation, Attendance and Weather Policy

At Kooee Kids Nature Play, we are committed to creating meaningful, calm and connected experiences for children and families through nature play, bush adventures, playgroups, pop up sessions and school holiday programs.

To ensure our programs remain sustainable, safe and well organised for all families, we ask that participants carefully read the following policy before booking.

Because our programs operate with small group sizes, limited availability, staffing ratios and extensive preparation, every booking is important.

Bookings and Payments

All bookings must be paid in full at the time of booking unless otherwise arranged.

Bookings are only confirmed once payment has been received.

Cancellations and Non Attendance

If your family is unable to attend a booked session for any reason, including illness, holidays, change of plans, personal circumstances or wet weather, your booking will unfortunately be forfeited.

We are unable to offer:

  • refunds,

  • make up sessions,

  • transfers, or

  • credits for missed sessions or cancellations by families.

This policy applies to:

  • term programs,

  • casual sessions,

  • playgroups,

  • pop up events, and

  • school holiday programs.

Due to our small group sizes, staffing commitments and preparation involved in each session, cancellations and absences impact the sustainability of our programs and often prevent another family from attending.

We kindly ask families to notify us as soon as possible if they are unable to attend.

Pay It Forward

If your family is unable to attend a session and you do not require your booking, you are welcome to pay your session forward to another family in our community.

Please email us if you would like to do this, and we may offer the session to a family we know could benefit from connection, community and time in nature.

Illness and Exclusion

The health and wellbeing of our children, families and staff is extremely important to us.

If your child, or any attending family member, is unwell or showing signs of illness, please keep them at home and notify us as soon as possible.

Families must not attend while experiencing symptoms of contagious illness, including:

  • fever,

  • vomiting,

  • diarrhoea,

  • significant coughing,

  • contagious rashes, or

  • other symptoms that may place others at risk.

If a child arrives visibly unwell or becomes unwell during a session, families may be contacted and asked to arrange collection.

As outlined above, missed sessions due to illness are forfeited and are not eligible for refunds, credits or make up sessions.

Wet Weather and Severe Weather

Kooee Kids Nature Play programs are outdoor based and run in a variety of weather conditions.

We embrace the philosophy that there is no such thing as bad weather, only inappropriate clothing. Families are encouraged to dress children appropriately for the conditions, including wet weather gear, sun protection and spare clothing where needed.

Sessions will generally proceed in light rain and typical outdoor conditions.

However, sessions may be cancelled if conditions are considered unsafe, including:

  • thunderstorms,

  • lightning,

  • flooding,

  • extreme winds,

  • bushfire risk,

  • extreme heat, or

  • other dangerous weather conditions.

If Kooee Kids Nature Play cancels a session due to unsafe conditions or unforeseen circumstances, families will be notified as soon as possible, generally by 8am on the morning of the session.

In this circumstance, a credit or transfer to another session may be offered at the discretion of Kooee Kids Nature Play.

If a session must finish early due to unsafe weather after commencement, no credits, refunds or transfers will be provided.

Minimum Numbers

Some sessions require minimum participant numbers to proceed.

Kooee Kids Nature Play reserves the right to cancel or reschedule sessions if minimum numbers are not met.

If this occurs, families may be offered a transfer or credit toward another session.

Behaviour and Safety

For the safety and wellbeing of all participants, children and adults are expected to behave respectfully and follow educator directions.

Kooee Kids Nature Play reserves the right to ask a participant to leave a session if behaviour places others at risk or significantly impacts the safety or wellbeing of the group.

Policy Updates

Kooee Kids Nature Play reserves the right to review, update or amend this policy at any time.

By booking into our programs, families acknowledge and agree to these terms.
